OAK CREEK HOMEOWNERS ASSOCIATION BOARD MEETING MINUTES

December 14, 2020 – ZOOM MEETING

7:01pm start – called to order

In Attendance:

The minutes of the November Board Meeting were approved.

Pond:

After years of neglect the board decided to look into what was needed to maintain the retention pond which has been overgrown. It is the board’s responsibility to maintain the assess of the association. The first step is to determine what are our options. To that end the board contacted to remove the overgrowth to see the condition of the actual pond.

We should have a report on our options at the next meeting.

There was considerable discussion at the meeting about the above board action.  It was pointed out that we (the board) were able to get contactor for $4,000 to remove the overgrowth if we could schedule immediately (which would enable us to perform the proper assessment of the project). Unfortunately, due to the short timeframe and several board members assisting with overseeing the project, we were not able to send advance notice to the community. 

Before the board goes forward with any major decision, we will be reporting back and discussing the options at the January meeting.

Draft 2021 Budget:

The draft 2021 budget was also discussed. A copy of the discussed budget is on the our web site on the events web page. Comments from the meeting will be incorporated. A draft for approval with be send out with the pre-January meeting notice.

Grounds Committee: No report

Clubhouse Committee:

The Palmers with me leaving us, moving to Atlanta

Judy Palmer has been chair of the Clubhouse committee and will be sorely missed.

Many thanks for the time and effort she has put in.

Architectural Review Commit

New roofing material approved.

Will be added to web site

Social Committee: No upcoming events planned.

Finance: No report

The following is the December financial report post meeting:

34.5K in checking, 107.5k in money market = total of $142,000

(The state recommend that an association have one year’s association

dues in reserve or in our case $90,720 – we are at 156 percent of it.)

Tennis Court:

Thanks to the following homeowners that helped with getting the cover on the tennis courts:

January 11: Yearly Association Meeting.

Monday January 11 at 7:00 p.m. we will be holding our yearly association meeting for:

Electing three new board members – Ted Ergo, Eric Paetzel and Tom Hytry’s two year terms are up.

Review of the 2021 budget.

Residents are elected to the board and the board determines who will be chairman, treasure, secretary etc.

The January Board meeting will follow the general meeting.

Detail of how we will be holding it will be sent out about one week before the meeting.

We will be sending out that information to the association one week before the meeting along with the 2021 budget.

From a resident:

The last couple evenings when I was coming home, there has been a group of people out walking which is no problem. The problem is that they are wearing dark coats and it is very difficult to see them. I came dangerously close to hitting them on both occasions. Can we put something in the subdivision minutes or notes suggesting that people wear bright colors if they are out walking after dark. I would hate to see a tragedy happen. Thanks brother.
