March 2016 Oak Creek Association Meeting

 

MINUTES OF THE March 7 HOMEOWNERS ASSOCIATION MEETING

 

Board member present: Al Harderson, Kim Baer, Fred Krug, and Tom Hytry.

 

The following homeowners were also present:  Carole Crum, Jim & Janice Lee, Brad & Dorothy Jarman, Gene Dunne, Art Woodward, Eric Maple and Beth Johnson.

 

The meeting consisted of listening to two proposals from Property Restoration & Renovation and from William & Groesch General Contractors on how to fix the problem with the clubhouse.  After the contractors left there was a discussion on the two proposals.  The two problems are the collapsing roof of both the fireplace room and the roof of the West Hall.

 

Fireplace Room: The center beam is cracked.  State Farm Insurance has agreed to cover the repair for this room.  The first proposal was to install a steel beam below the cracked wooded bean to support the roof.

The second one was to replace the roof completely.  The board has decided to go with the complete replacement if it is approved by the insurance company (the replaced bid is about $15K higher.)

 

West Hall: The room of the west hall is also collapsing. It was noticed when the structure engineers came to look at the fireplace room. The room is closed/locked out for safely.  That room is a later add-on to the clubhouse.  At this point, State Farm has not decided if it is covered by our insurance.  If the collapse is caused by bad design it may not be covered.  We are working with State Farm on it.

 

The two proposals from the contractors would both replace the roof of the room. The two cost estimates are 64K and 74K. A second option if State Farm does not cover repairs is to remove/demolish the room which would still call about 40K (very unofficial estimate from one of the contactors.)

 

If the work to the West Hall is not covered by our insurance, one or two special assessments will be required.

The board is allowed to pass a special assessment of up to $500 each year.  The replacing of the roof in the West Hall, if not covered by insurance, would most likely require one special assessment each for the next two years!  More information on the status of the West Hall will be covered at the next board meeting.

 

Nextdoor: Currently over half the homeowners have sign with our “Nextdoor” service. If you have not done so please sign up.

 

 Nextdoor is a free service which provides an electric bulletin board for local neighbors. I have set one up for Oak Creek.  For more information on it see nextdoor.com on the web.  Our service (Oak Creek) will be restricted to Oak Creek residences only.  Some of things that we will be using the service for are association notices, pool changes including unexpected closings.
